Mission 12 / Inbox Intelligence

Gmail Analysis Agent

Demonstrated build; public proof pending

An AI-powered inbox intelligence pipeline that parses incoming emails, classifies intent, extracts key action items, and syncs structured metadata to CRM databases with human approval boundaries.

The problem

Business executives and client service teams drown in unstructured email traffic, manually reading, categorizing, and copying customer inquiries into project trackers and ticket queues.

My responsibility

Architected the OAuth2 webhook trigger, LLM zero-shot classification node, structured JSON extractor, duplicate message hash detector, and automated Slack triage card.

System route

The architecture below is a readable abstraction of the documented workflow, not a simulated live execution.

  1. Ingest and validate raw email payloads via Gmail Pub/Sub webhook triggers
  2. Classify intent (Inquiry, Support, Invoice, Urgent Escalation) using structured LLM outputs
  3. Extract entities, sender history, and actionable tasks into a normalized JSON schema
  4. Route urgent notifications to Slack and update operational CRM records with deduplication

Reliability notes

  • Idempotency hashing prevents duplicate processing of email threads or re-sent messages.
  • High-stakes responses (e.g. billing changes, legal terms) require mandatory human sign-off via Telegram/Slack.

Operational Architecture & Deep Dive

In production automation, reliability is never an afterthought. Every mission engineered for Gmail Analysis Agent is designed around strict input validation contracts, bounded execution permissions, and deterministic error fallback channels. Unstructured data is parsed into schema-validated JSON before entering downstream business logic, preventing malformed payloads from corrupting state stores or generating cascading failures.

When integrating large language models with operational databases and third-party APIs (Python, FastAPI, OpenAI GPT-4o), workflows utilize prompt-injection filtering, deterministic routing, and transactional rollback mechanisms. Rather than treating failures as exceptions, the architecture explicitly models failure as a first-class execution path with automated retry policies and real-time alerting.

Zero-Trust Governance & HarLyn Security Standards

Through HarLyn Digital Partners, we review automated systems for security risks using threat modeling, OWASP-aligned checks, and technical data protection site audits led by Nazline Mwita. We store API keys in secure vaults and limit their permissions to reduce exposure.

Evidence Verification & Authorized Review

Client-approved execution recordings, live production endpoints, sanitized payload schemas, and verifiable metric baselines are documented across HarLyn Digital Partners repositories. Teams seeking an in-depth operational audit can explore our fixed-fee 48-Hour Secure Digital Workflow Assessment.
